3 Things to Keep in Mind During a Human Resources Information System Rollout

A well-functioning human resources information system (HRIS) is a crucial component for a company to have a stable and efficient infrastructure. A HRIS aides companies in making informed decisions regarding recruitment, finances, staff development, and other forms of integral support necessary for a company to be as efficient and productive as possible. As companies develop and transform, some may decide that transitioning to a new HRIS is best for their company.

Having worked with a handful of clients on HRIS rollouts, we have learned a few key points along the way:


System has to fit with the existing company culture. This may not be the first thing you think of when selecting an HRIS system, but ensuring that the selected HRIS fits well with company culture is a telling predictor of how successful the rollout will be. When selecting a system, take a step back and look at how your company interacts on a typical day. For example, will the system ask supervisors to take on new responsibilities for their staff? Will they have enough time to take on these responsibilities? Company culture may seem irrelevant when selecting a HRIS, but it’s questions like these that will deem a HRIS rollout either successful or unsuccessful.

Spend quality time on training staff. Don’t cut corners on taking time to thoroughly train staff on the new HRIS. If the new system requires employees to take on additional responsibilities that affect the performance of a company, it is of utmost importance that employees are given a complete training so the new HRIS can be utilized to it’s fullest extent. Not all actions with human resources information systems are intuitive, making it extremely important that training is exhaustive and covers everything in extreme detail.

Create a detailed, structured implementation plan and document it. Spend time defining and laying out each step of the system rollout before the implementation process begins. Establishing all of the tasks and responsibilities will help to create solid timelines and allow you to properly resource the project based on all of the different work that will need to be accomplished. This will ensure that your transition will be as smooth as possible from your current system and you won’t have any issues with data integrity or staff not getting paid properly when you do your first pay run!
